1. Preface and general information

DynamicTemplate is an add on program for Microsoft Office, and this document is a complete product description for the software DynamicTemplate. The product description describes and explains the set up and use of DynamicTemplate.

1.1. Introduction to DynamicTemplate

DynamicTemplate is a Microsoft Office template solution for all public administrations where thousands of letters, reports, brochures etc. are written and sent each year – both digitally and physically. 

DynamicTemplate is designed to support and accelerate the whole document creation process to enable efficient generation of visually consistent output across the organisation. 

DynamicTemplate is an add on program for Microsoft Office Word, Excel, PowerPoint and Outlook. The solution is compatible with the following versions and Operating Systems:

• Microsoft Office 2013, 32 and 64 bit
• Microsoft Office 2016, 32 and 64 bit
• Microsoft Office 2019, 32 and 64 bit
• Microsoft Office 365, 32 and 64 bit
• Microsoft Windows 7, 8, 10 and 11

DynamicTemplate shows up as a menu tab at the top of each Microsoft Office application. Figure 1 shows the tab as displayed in Microsoft 365:

This product description includes several screenshots to illustrate dialog boxes, buttons, etc. These screenshots are taken from a version of Microsoft Office 2010. 

There may be small variations between the phrasing and menu buttons in Microsoft Office 2021, 2019 and 2016 compared to Microsoft 365. The ribbon under the ‘DynamicTemplate’ tab contains buttons and functions to generate written and visual output, in the form of documents, spreadsheets, presentations and emails etc. in the Office programs mentioned above. The generation of text and visual output includes the creation and use of templates, signatures, and Standard Content which can be dynamically inserted.

1.2. Alternate tab placement

It is possible to place the tab relative to the built-in tabs in Office. This is done through a configuration in the ‘Setup.xml’ file, as described in 3.1.9.11 Tab placement .

1.3. Tips on navigation and button functionality

Buttons within DynamicTemplate’s dialog boxes can be used in the normal way for Office programs. Each button can be activated in several ways, i.e. by using the mouse, by using Tab to select the button followed by Enter, or by using the shortcut keys highlighted in the dialog boxes (ALT + highlighted letter). 

Navigation through the DynamicTemplate directory structure follows the same principles. Users may use ”+”, ”-” and the arrow keys to navigate between folders within the directory. 

Dialog boxes that allow “All Files” to be selected as an option will display all valid files as a result. For example, an *.xml file would not be displayed as a template option in Microsoft Office Word.

1.4. General information on paths

As is the case with Microsoft Office, DynamicTemplate supports a maximum length of 255 characters for file paths and names. If a file name exceeds this length, or the path to a location would be too long, then a warning is displayed to the user.

Note that UNC paths are supported throughout DynamicTemplate and can be used to describe the locations of network resources.
