Essential Tools is a set of tools that enable easier access to most used features in the Office suite on branded templates as well as features that solve use cases that can be difficult for most users.
This guide will elaborate on the various tools you can find in the Essential Tools solution, as well as describe what input we need from you to implement the tools. We will always customize the solution according to your needs and brand.
The tools included in the solution differ from the Office programs. The sections below illustrate how the Essential Tools ribbons look like, including a description of the tools.
Essential Tools in Word
The tools in Word are separated into four groups - Colors, Tools, Styles and Image.
Colors
The color selector allows easy access to corporate colors. There are three options: 1) change fill color of selected element, 2) change line color of selected element, and 3) change font color of selected text or text within selected element.
To implement these features, we need a list of the colors, defining the color name and RGB code. Notice that you can have as many colors as you want and the colors can be separated in the menu, e.g., "Primary colors" and "Secondary colors". Just let us know what you prefer.
Tools
This group consists of multiple productivity tools.
The first one, Show/Hide, enables the user to show or hide shapes/elements in the document. For instance, this could be used to show or hide logo and address. To implement this tool, we need to know which element(s) you want to be able to toggle the visibility of.
The second one, Update Fields, allows you to update all fields in the body and header/footer section of the document.
Paste and Formatting contains different features that support the user to take out direct formatting and paste with/without formatting.
The last three features are toggle buttons to view gridlines, field codes and paragraph marks in the document.
Styles
This group works as a shortcut for applying styles that are present in the document. Just let us know if you want to include several styles than normal, bullets, numbering and headings.
Image
Our Image Tools improves the ability to insert images from non-Templafy libraries into the document.
Essential Tools in PowerPoint
The tools in PowerPoint are separated into three groups - Colors, Tools and Image.
Colors
The functionalities are the same as you find in Word.
Tools
This group consists of multiple productivity tools.
The first one, Spelling Language, is a menu from where the user can change the spelling language of the presentation. By default, the menu consists of a wide range of different languages, but we recommend that you define which languages that should be available.
The Level Selector allows the user to apply levels in shapes and placeholders. They refer to level 1-9 in the slide master of the particular presentation.
Find Next will search chronologically through the slides and jump to next guiding text in the presentation. Guiding text is defined as text in square brackets.
Image
The functionalities of the Image Tools are the same as you find in Word.
Essential Tools in Excel
The tools in PowerPoint are separated into three groups - Colors, Tools and Export.
Colors
The functionalities are the same as you find in Word and PowerPoint.
Tools
This group consists of two productivity tools.
The first one, Special chars, is a tool that allows the user to easily insert special characters at cursor position. By default, the menu contains various accented vowels and consonants, currency symbols as well as numerical symbols. We can always add extra characters or symbols based on your needs.
Export
This group enables the user to export charts and tables created in Excel to Word or PowerPoint. They can be exported either as a graphic or as the respective object (chart/table).
These tools are handy to have if you also have Corporate Charts or Corporate Tables.
