What are sender profiles?
A sender profile is a set of identity data that can be used as dynamic content in templates and themes. When a user generates a document, the values from their active profile are inserted automatically, so the document reflects who it is sent from.
Every user has at least one profile: the connected profile, which is created automatically from the organization's identity provider. Users can also create additional local profiles to represent other identities or personas.
The fields available in all profiles are defined by the organization through the Senders form.
The Senders form
The Senders form is configured at the organization level. It defines the fields that all sender profiles in the organization expose. Because every profile uses the same form, the data shape is consistent across all users, which makes it reliable to use in templates.
The Senders form is found in the organization's settings page, under the organization name.

Configuring the Senders form
The Senders form builder uses a three-column layout:

When you are satisfied with the form, click Publish to make it available to all users in the organization.
Identity provider fields
The left column of the form builder lists the fields provided by the organization's identity provider, such as Microsoft Entra ID. These fields show the current values for the logged-in user, so you can see exactly what data is available.
You can drag identity provider fields directly into the form builder to include them as form fields. If the inbound data from the identity provider needs to be reshaped before it is used in the form (for example, to convert a plain string into a Select option), use the dataset pane to apply a filter. See Transforming inbound data below.
Adding fields to the form
To add a field to the Senders form, click + in the form builder column and choose a field type. You can also drag a field from the Identity Provider fields column to add it with automatic binding.
Supported field types are Text and Select. Each field can be configured with a name, description, required flag, and default value. Right-click a field in the builder to access edit, copy, and delete options.

Connecting a Select field to a data source
A Select field in the Senders form can be connected to a data source. When connected, the Select field's options are driven by the data source, and child fields are auto-generated to represent each column. This is useful when you want users to pick from a managed list, such as a list of departments, and have the selected row's values flow into the profile automatically.

Transforming inbound data
The Senders form has dataset support. The inbound data is the information the identity provider sends about the user. You can apply a filter to transform this data before it reaches the form (for example, to reshape a plain department string into the object format expected by a Select field).
To access the dataset pane, click Manage data next to the identity provider source in the left column. This opens the same three-column dataset view (Inbound data, Filter, Result) used in the template editor.

Managing your profiles
Users manage their profiles from the Profiles tab in their account settings. To access it, click your name in the top-left of the application and select your account, then navigate to the Profiles tab.
The Profiles tab lists all your profiles. Each profile provides your sender details when you generate a document. One profile is always set as your default profile, which is used automatically unless you choose a different one at generation time.

Your connected profile is created automatically from your organization's identity provider. It is marked as Connected and is set as the default profile by default.
Click a profile row to expand it and see its form values. The form is pre-filled with the values your identity provider sent. You can update individual fields and click Update to save changes, or click Reset values to restore the identity provider's original values.
The connected profile cannot be deleted.

Local profiles
In addition to the connected profile, you can create local profiles to represent other identities or personas. Local profiles are private and fully editable: none of their fields are locked to identity provider values.
To create a local profile, click + New profile, enter a profile name, and click Create.

The new profile appears in the list and can be expanded to fill in its form values. Local profiles are marked as Local and described as fully editable.

Using profile fields in templates and themes
Profile fields are available in both the template editor and the theme editor. In both editors, a Profile tab appears next to the Dataset tab in the left panel. The Profile tab lists all the fields from the Senders form.
To use a profile field in a template or theme, drag it from the Profile tab into the information tree. This creates a Profile component node. The node is automatically bound to the correct profile field; the key and storage location are handled behind the scenes.

When previewing a theme that uses profile fields, a profile selector appears in the Preview mode. You can select any of your profiles to see how the theme renders with that profile's data.

Considerations
- One Senders form per organization: The form is defined at the organization level and applies to all users and all units within it. All profiles expose the same fields.
- Connected profile cannot be deleted: The connected profile is tied to the identity provider and cannot be removed. Its values can be updated, but resetting restores the identity provider's original values.
- Local profiles are private: Local profiles are visible only to the user who created them. They are not shared with other users or administrators.
- Default profile: The default profile is used automatically when generating documents. You can change which profile is the default by expanding it and clicking Set as default.
- Supported field types: The Senders form currently supports Text and Select fields.
- Publishing the form: Changes to the Senders form only take effect for users after the form is published. Existing profiles are updated to reflect any new or removed fields after the next sign-in.
