By creating an integration between Templafy Hive and a Document Management System (DMS), it is possible to import data from a DMS into Templafy Hive and merge it into a Word document.
Requirements
In order for the DMS integration to work it is required that the Dynamics Metadata module is activated in the relevant Templafy Hive tenant. Besides that, all DMS stored templates that are used in the integration, should not contain content in the header.
Specifically for the correct and swift configuration of a DMS integration or for relevant technical support it is very valuable for the Omnidocs team to be granted access to the Document Management System that is used (fx. via a test user) or be able to test and troubleshoot the integration on a configured computer via TeamViewer or similar.
Compatible Document Management Systems
Currently, it is possible to integrate Templafy Hive with the following systems, but in general, it is also compatible with all document management systems that can generate a document with metadata.
- Acadre
- F2
- iManage
- Maconomy
- Microsoft Teams
- NetDocuments
- Public360
- SharePoint
- SBSYS
- WorkZone
Workflow Overview
Firstly, a document containing metadata is downloaded from a DMS system and edited in Microsoft Word. Once the document is opened, the DMS flow will be triggered and prompt a Templafy Hive pop-up window, where the end-user is asked to choose the template they would like to use to generate a document.
The DMS-stored metadata are downloaded with the document and can be used to pre-fill the template's form fields and, by extension, merge them with the Templafy-stored data and input them into the document.
Finally, in most cases, once the Word document is saved, the amendments are pushed to the DMS where the document originated from. This gives the end-user the ability to import DMS metadata into an on-brand document and save it back to the DMS.
